Restaurant inventory management: 6 habits that cut waste and stop stock-outs

Running out of your best seller on a Saturday is expensive. So is throwing away a bin of spoiled stock on Sunday. Good inventory management sits between those two problems. These habits work whether you run a small cafe or a multi-branch restaurant.

1. Count on a fixed schedule

Pick a day and a time and do it every week: fast-moving perishables weekly, dry goods less often. A count that happens on the same schedule is one you can compare to last week's, which is how you spot problems.

2. Set a par level for every item

A par level is the amount you want on hand at the start of service. Base it on how much you actually sell, not a guess. When stock falls below par, you reorder. Review pars every few weeks, since demand shifts.

3. Use low-stock alerts

Remembering to check is unreliable. A system that deducts stock as you sell, and warns you before an item runs out, does the checking for you. This is one of the main reasons to have inventory built into your POS. See the POS checklist.

4. First in, first out (FIFO)

New deliveries go behind older stock, so older stock gets used first. Label items with the received date. FIFO is the simplest way to cut spoilage, and it costs nothing.

5. Track waste, not only stock

Note what gets thrown away and why: over-prep, spoilage, dropped, returned. After a month, patterns show up, such as one item you always over-prepare on quiet weekdays. Your busy-hours data helps you prep the right amounts.

6. Compare what you sold to what you used

If sales say you sold 40 portions but stock went down by 55, something is going missing: waste, wrong portions, or unrecorded giveaways. Reviewing this gap regularly is how owners find leaks.

Start small
